  • Driver Maintenance module (All driver information and settings related to active / non-active and valid or non valid / expired drivers are being managed through this module.)

  • Trip Allocation module (Covers the trip specifics related to each vehicle allocated to a driver, which is used to manage drivers/users and costs on a per trip basis, while the information related to each trip can be linked up to the tracking device on the vehicle to automatically populate and verify distance readings and even assist in the allocation of traffic fines and incidents – the trip allocation can be done as one process from within the vehicle allocation module.)

  • Employee Information module (Manages all employee position, personal, salary, drivers license code and validity, incidents, etc. details.)

  • Licensing Registration and COF module (Catering for all your vehicle licensing, registration and roadworthy certification needs, with automated prompting on newly delivered vehicles as well as for vehicle licenses or COF’s about to expire.)

  • Fuel Card module (Should a fuel card allocation be required for a vehicle, it can be pre selected in the asset inception process and upon delivery the ordering process will start automatically by prompting the fuel card user to order the card and by simply printing the pre generated card order form.)

6. Vehicle Monitoring / Tracking Minimize
   
  • Tracking Supplier & Agreement management module (Where all tracking suppliers and agreements as well as special conditions, costs and charges are captured, stored and managed from.)

  • Tracking Information Integration module (This module manages the automated integration of normally supplied tracking data from your tracking service provider, but now being available in real time within the entire framework of the fleet management system, thus allowing this data to be used for all other fleet type transactions, reports, costing, planning, etc.)

   
  
 
7. Repairs & Maintenance Minimize
   
  • Reception Job Cards Management module (Caters for all internal repairs per workshop division by means of job logging, job card creation, tracking, authorisation and vehicle inspection as well as the associated job closure and related time and costs logging and management.)

  • Repairs and Maintenance Cost Centre module (Various cost centers and workshop divisions can be set up which applicable job cards can then be created against, thus allowing for costing and budgeting per cost centre and/or repairs division, this also helps with performance and target management and reporting.)

   
  
 
8. Asset Replacement & Planning Minimize
   

  • Vehicle Replacement Strategy & Planning module (Within this module, the user can create various replacement strategy models which can be applied to those assets / vehicles falling under each specific replacement strategy. Each vehicle’s tariff and residual value will obviously be affected through changes in the replacement conditions and can now be simulated and tested via this module to apply the best informed and return on investment strategy.

  • This module forms part and parcel of the initial procurement testing where the user will test the feasibility of acquiring a certain vehicle, based on all the conditions of purchasing, usage as well as replacement, life span.)

   
  
 
9. Disposal / Auction Management Minimize
   
  • Withdrawal from Service module (Any vehicle due for withdrawal due to it reaching it’s end of economic life, or is damaged beyond repair can be accessed through this module and set to a withdrawn status. All agreement, fuel card, licensing and other related modules will automatically be updated and flagged for action with regards to these specific vehicles now on withdrawn status.)

  • Board of Investigation module (This caters for the automated BOI job card creation within the system, to allow for a proper assessment to be done on the actual withdrawal of a vehicle. Information such as the current market value, life to date cost/expenditure and more will automatically be populated to the relevant vehicle and job card, allowing for properly informed assessment and decision making on the final withdrawal and disposal of each vehicle. In this stage all required documentation will be prompted for, e.g. accident reference number, etc.)

  • Disposal / Auction Management module (Should a vehicle pass from the BOI to this disposal status, a number of automated disposal profiles will automatically be populated with each additional vehicle now earmarked for disposal, so that the user who manages the actual disposal process can view a profile list of all vehicles, their auto allocated disposal or lot numbers, repair and replacement cost, initial purchase cost, current market and resale values and all other relevant disposal related details as required for the actual automated disposal process.

  • Depending on the disposal method/profile, it can be selected directly from the system in terms of creating the disposal documentation for the actual disposal method, whether an automated tender request (RFP) or an actual auction advertisement and auction list generation. Upon the actual disposal of these vehicles, provision is made within the system to accommodate all aspects of the disposal / sale of each vehicle in detail.)

   
  
 
10. Call Centre & Client Liaison Minimize
   
  • Incident Logging module (This caters for the logging of any accident and/or incident related to a vehicle in your fleet, with all the following information displayed in your immediate query view of any vehicle: General Vehicle Information, Driver, Driver License, Fines, Incident History, Fuel Card, Vehicle License, COF, Tariff, Allocation to Client, Replacement Plan, Maintenance Plan, Service History and Service Due Dates, Invoicing Summary, Life to Date Expense, Repair and Authorisation Status and what ever else might be required in this crucial quick view of a vehicle via further customisation of this module.

  • Road Side Assistance and or Emergency Assistance can be initiated and logged as such directly from within this module. Standard templates of emergency or incident procedures are also displayed on screen with only key information requirements to speed up the process of logging the details of a call but also assisting promptly in case of an emergency.)

  • NOTE: System support related matters will be managed by GESS Fleet Solutions through our own 24 hour support networks and call centre (terms and conditions apply).

  • This is to allow for the Fleet Operations Call Centre to concentrate on supporting the operational support issues as part of the day to day functions and running of the fleet. This is also best practice with regards to segregating functions where necessary and more specific in the fleet environment where fleet support is a key requirement on its own, just as system support for system users is a key requirement in its own right as well.

   
  
 
13. Fleet System Support, Maint. & Updates Minimize
   
  • System support is offered by GESS as an added benefit to the daily usage and running of the fleet system. This support function will be managed by GESS Fleet Solutions through our 24 hour support networks and call centre (terms and conditions apply).

   
  
 
12. Reports Minimize
   
  • There are various standard reports within the fleet system, which covers all key management, reporting and control requirement aspects of a corporate fleet environment and with regards to every fleet organisational sub division as well as every component and module represented within GESS’s Fleet Management, Maintenance and Information System.

   
  
 
11. Sub Contractor / Rental Management Minimize
   
  • Sub Contractor Maintenance module (Within this module any sub contracted profiles can be accommodated so that the contractor, relevant rates and charges, terms and conditions as well as vehicles supplied per project and each actual project be captured into the fleet system.)

  • Project module (These projects related to any project the user needs to create and against which a contractor, its terms and conditions, charges and vehicles, which are being in sourced, can be assigned.)

  • Sub Contractor Vehicles module (All vehicles to be supplied by a sub contractor can be defined and linked to each contractor within this module. This allows for assignment of vehicles clearly identified and flagged as sub contractor supplied vehicles to the various defined projects, in line with the stipulated and defined project requirements as captured within the system and under this component. Assignment on the next level to clients and/or drivers can now also be managed and controlled via the system and allocation modules.)
